I know we obviously have to keep the job application/interview forms etc, we also have a health/criminal convictions declaration form but apart from that they are just stuffed with copies of tonnes of training certificates - does everyone keep copies of these? I was thinking of creating a sheet where I can put the date of training, name of course, then I sign to say I have seen the original certificate - is that acceptable does anyone know?? Quote

SueJ Posted February 5, 2015 Posted February 5, 2015 I have a sheet saying what training and how many hours for each member of staff. I now scan any certificates to pdf format and keep them on the laptop - I am trying to reduce the mountains of paperwork to pdf scans wherever I can now! 1 Quote

I was planning to only keep copies of first aid, highest qualification certificate and safeguarding . I can't see why we would need to keep any copies of certificates from non mandatory training courses Quote
thumperrabbit Posted February 7, 2015 Posted February 7, 2015 I currently keep everything to do with a staff member in a file per member of staff - is that what everyone else does or do you keep your training certificates altogether separately, so if Ofsted ask for them you're only getting one file out?? mundia Posted February 7, 2015 Posted February 7, 2015 I would still suggest a single central record recording things like identity checks, DBS, qualifications check, references etc. Certainly one of the settings I work with was picked up on not having this centrally (so you can see at a glance) and instead having it all in individual files (so you have to get out several to check each one. Each staff member can still have a file for supervisions/training/appraisals/absence records, return to work etc etc Quote
