6 Things to do at the End of Term - EYFS

In this tutorial we will cover the main things you may wish to consider at the end of each term on Tapestry. Each subheading will take you to our main tutorial.

SUMMATIVE ASSESSMENTS

The Summative Assessments Screen - This will you the attainment of your children so far. To get there, simply go to Tracking > EYFS > Summative Assessment. 

You can view this data in a number of ways.

1)     Individual children for certain periods.

2)     Groups of children for certain periods.

We will look at the individual view first (3). Select a child, year and period that you want to see.

The age band (1) and refinement (2) are an average of all the assessments you have made during this period – clicking the “show details” (3) button will give you a list of the observations that contributed to this result. If you disagree with this, you can manually override by using the drop-down menus – this little pencil icon (4) means it was a manual override and hovering over it says who it was made by and when it was made.

Group view works in exactly the same way and is a great way of getting a bigger picture at a glance. You can use the filters to narrow down your results as you wish. Clicking on each one will also bring up the observations for this result. You can get to the group screen from the top of you individual screen, or from the Tracking tab. 

EARLIEST AND LATEST AGE BANDS

To get to this screen go to Tracking (1) > EYFS (2) > Earliest and Latest Age Bands (3)

If you’re looking at “Latest assessments” (1) this will show you the most recent summative assessment for each area (provided there is at least one assessment for that child) This means you may see assessments from different terms. 

It shows you in which period (2) the latest assessment was made and as always, the “show details” (3) will display a list of the observations/assessments for this statement.

The group view for this looks very similar to the summative assessment screen but, again, it’s showing the most recent assessment. You can also click on each one to see the associated observations and assessments.

AGE BAND TRACKER

To get to this screen go to Tracking (1) > EYFS (2) > Age Band Tracker (3)

As always, use the filters (1) at the top if you need to narrow things down.

This screen shows two important things – where each child is per term (2) and the percentage of children working in each bracket (3). You can also set a start and end period (4) meaning you can see progress over a term, a year, multiple years etc. Hovering over a name will isolate that name so you can see that child’s journey through the age bands.

PERFORMANCE STANDARD

To get to this screen go to Tracking (1) > EYFS (2) > Performance Standard (3)

This screen allows you to compare a child’s attainment (1) next to a target age band and refinement (2). Just select the year, period and child. Set the target age band and refinement, then choose an area. By default it will be set to “all”. (3)

This will then show the child’s summative assessment data for the period you have selected. The colour will denote whether or not they are Below Target, At Target or Above Target. The group screen will also show you a percentage of certain groups that have reached the target.

REPORTS

Let’s look at reports next. You can access your reports page by clicking clicking the 'Reports tab' at the top of the screen (1). You will then need to choose a reports template from the options on the right (2) and select a child (3). Please note that if you don't have reports enabled you will need to enable these first from the Features section of the Control Panel.

Firstly, you will need to add a title for your report, as reports can't be saved without a title (1). You can choose which sections appear in the report by clicking “Hide Section” or "Hide Field"(2).

For each of the 7 areas of learning, the age bands and refinements (1) will be filled in automatically and are taken from the child’s summative assessment screen. However, just like on that screen you can manually override this if you feel it’s inaccurate. Please note, overriding any assessments on the report will not change anything on your Summative Assessment screens.

You can upload any supporting evidence by clicking "Add Files" (1), selecting the file you need and clicking upload. Once you are finished making the report, just click "Save Report" (2) at the bottom.

There are three statuses for reports: "Published", "Staff Only" and "Draft". Only published reports will be visible to relatives. You can change the status of a report by clicking the cog icon.

EXPORTING LEARNING JOURNALS

If you need to export any of the children’s journals go to your Control Panel (1) > Manage Children (2)

If you are doing 1 or 2 journals, then you can do them individually by clicking the cog menu (3) and selecting ‘export journal to PDF’ (4).

If you are doing a large group at one time you can do it by bulk by using the tick boxes (1) or the select all tool (2). Use the drop-down menu in the bottom right to export all the selected children’s journals (3), then clicking "Go" (4).

One very important thing to check when exporting journals is the "recipient" - check whether this is for staff or relatives.

 

TRANSFERRING CHILDREN

To transfer children to other Tapestry accounts, go to Control Panel (1) – Transfer Children (2)

Here you will see 2 sections: ‘Send a Transfer’ (3) and ‘Receive a Transfer’ (4). If you’ve already gone through this process before, you may see ‘Current Transfers’ and ‘Previous Transfers’, too.

If you’re sending children to another account, click the blue ‘Send children to another setting’ button (5). Select the child or children you are sending. Review the other options carefully and once you’re happy click the blue ‘Start Transfer’ button at the bottom.

The transfer will now be in your “Current Transfers” (6) section. Clicking on this will reveal the Transfer Name and Transfer Key. The receiving setting need this information to continue the transfer process.

STAFF CHANGES

To make any changes to staff you need to go to Control Panel (1) > Manage Staff. (2)

Here you will see a list of all the staff on the account along with their status and account type.

Using the cog menu (3), you’ll see Make Inactive and Delete (4) This works in the same way as it does for children’s profiles. Making Inactive will prevent the user from accessing Tapestry and being able to reset their password. But you can re-activate them whenever you want. Do this by clicking the cog menu again and selecting “activate”

Deleting a staff member also means they can’t log in or reset their password, but you only have a 90-day window in order to reactivate them. After that they are permanently deleted. Within the 90-day period, you can reactivate them in the same way as before.
