How to track EYFS gaps of learning on your account

There are several different screens on Tapestry you can use to track 'gaps' in children’s assessments. These can assist you with your planning by showing you whether you are covering your curriculum evenly and supporting you to provide a full and rich curriculum to the children in your setting.

Each of these screens will help you track gaps in slightly different ways, so without any further ado, let's get started! 
 

Next Observations

The first screen we're going to look at is the Next Observations screen. You can use this to look at gaps for children on an individual basis. To access it, you just need to go to the Children tab at the top of the screen (1), then find the profile card for the child you want to view this for, you might have to move between pages to do this. Once you have done this, you just need to click on their name (2) and select ‘EYFS Next Observations’ from the drop-down menu (3).

You can change the year (1) and period (2) you view this for from the top of the page and if you want to switch between children, you can use ‘Child’ drop-down (3) to do this.

On this screen you can see any aspects in which a child has not been assessed (4) as well as suggestions of things you can look out for to help you assess a child in this aspect (5). 

You may want to reflect on these suggestions when you are working on your planning as they might provide you with ideas for activities to do with a child. They can also be useful as prompts when you are looking at gaps in the summative assessments - supporting your professional judgement about how to assess a particular child.

Summative Assessment Group View screen

Now we’re going to look at the group view of the Summative Assessment screen. This can be found by going to the ‘Tracking’ tab (1), then making sure you are on the ‘EYFS’ section (2), click on the ‘Group View’ button (3) in the Summative Assessment section.

You can use the options at the top of the page to select which year/period (1) and group of children (2) you see this information for. In the chart you will then see each child’s summative assessment for each aspect in the term you have selected. You can read this tutorial for more information on how these scores are calculated. 

This screen is helpful because not only can you see gaps for individual children by looking horizontally along from their name (3), but you can also see gaps for specific aspects for this whole group by looking vertically down from an aspect (4). If a lot of children have gaps for one particular aspect this might be something you are aware of, but it might also be something you want to address in your planning. In the screenshot you can see one aspect that has a lot of gaps in our account is managing feelings and behaviour, so this might be an area we would need to try and focus on in our planning.

Thoroughness screens

On Tapestry the different ‘Thoroughness’ screens show you information about the number of assessments that have been made on your account. You can read this tutorial to learn how these scores are calculated.

You can use these screens to check that the children are being assessed evenly across the different aspects and also compared to other children.
The first thoroughness screen we’ll look at is the Child Picker screen. You can access this from the ‘Tracking’ tab, again ensuring you are on the ‘EYFS’ section (2), click on the ‘Child’ button (3) in the ‘Thoroughness’ box.

Here you can either choose a specific assessment period (1) or a custom period (2) and then you can select a group of children (3).

Once you do this you will then be presented with a chart where you can see how many assessments each child has for each aspect (4). This screen will show you any gaps, as well as the total number of observations that include assessments that each child has in this period (5).

This is helpful as you can use this to check children are being assessed evenly across different observations, rather than just having say one observation which include all of a child’s assessments.

The other thoroughness screen that you might find helpful is the Thoroughness dashboard. You can find this within the same Thoroughness section we found the Child Picker screen in, so in ‘Tracking’ (1), EYFS (2) and then click on the ‘Overview’ button (3) in the Thoroughness section.

At the top of this screen you will see a pie chart showing the breakdown of assessments on your account. You can filter this by year (1), period (2) and group (3).

Below this you can see bar charts for areas of learning, children, groups and staff’s key children groups. For the purpose of this tutorial I’m just focusing on the areas of learning chart. 

Here you can see the number of assessments for each aspect in a period (1) and the aspects with the most or least assessments (2), you can change this from the drop-down menu where by default it will say ‘most’ (3). You can change the periods (4) and if applicable, groups of children, you view this for (5) underneath the graph.

The last screen I’m going to go over in this tutorial is the Staff Observation Count screen; this shows you gaps in a slightly different way than the previous screens, so rather than looking at this on a per child basis, it will show you it on a per staff member basis.

 

Staff Observation Count screen

You can find this screen within the ‘Tracking’ tab (1), but this time rather than staying on the ‘EYFS’ section, you will need to go to ‘General’ (2). Then in the ‘Staff Observation Count’ box select either the Individual View or Group View button (3). For the purpose of this tutorial I’ve selected the group view.

You can use the options at the top of the page to choose which period (1), layout (2), group of children (3) and type of observation (4) you want to see. 

This chart will then show you how many observations each staff member has made for each child (5) (this will depend on what page filters, if any, you have applied here). Therefore, you can use this screen to check for gaps in how many observations staff are making on your account (6).
