Downloading Reports

Hi Childsplaypreschool,

Indeed, reports are not included in the children's journal exports at the moment, but this is something we'd like to add in the future :)

In the meantime, and so you can send these to the relatives at your setting, there are two ways you can proceed:

1) Export each report individually into your computer and distribute them as appropriate. 

For this, you'd have to export each single report individually, as it is not possible to do so in bulk, I am afraid. You'd have to go to your 'childrens' section > click on the name of the child whose reports you'd like to export > click on 'reports' > enter the report you'd like to export > click on the 'export' button that you'll find next to the 'edit' button on the top right hand side. 

You'd have to do this per report and child. 

2) Make the reports visible for relatives.

When you make a report visible for relatives, the parents themselves will be able to export the file directly into their devices!

Similar to the observations, by default, all reports are kept hidden from relatives until the setting is happy to share these with them. 

Here's a tutorial that explains how to make reports visible for relatives:

Once the reports are available for relatives, they will be able to view these by going to their children section, clicking on their child's name, and then clicking on 'reports'. If the access the report by clicking on the title, they will be able to export a PDF copy by clicking on the 'export' button.

Hi again Childsplaypreschool!

We just wanted to let you know that we have just added the option to include reports in PDF journal exports!

These will be included after the observations, and will be categorised as 'Reports' in the contents list.

Please note that only those reports created within the PDF's date range set up within the export form will be exported alongside the journal. Also, if the PDF is exported for relatives, only the reports that have been granted relative access will be included. 

You will also be able to export reports in bulk by unselecting all the options for observations within the original export form, accessible from the 'manage children' section as per usual. This allows for bulk export of reports into a PDF in case it is required for moderating purposes.
