How to back date data into Tapestry for EYFS

Although it is not possible to import data from other systems into Tapestry, it is possible to manually backdate your children's summative assessment scores.

This is possible by manually entering the summative assessment scores directly into each child's individual summative assessment screen.

To do this, you just need to go to the tracking tab (1) > EYFS (2) > Summative Assessment > Individual screen (3).

You then need to select the child and the assessment period you'd like to backdate the data for. 

Once you've done that you will be able to manually choose an age band, and refinement if you have these enabled for your account (you can check this on Control Panel > Settings > Summative Assessments), for the aspects you'd like to backdate data for. Don't forget to save the changes when you're done!

Please note that at this point you'll only be able to add data for the academic years that already exist in the account. So, if you started using Tapestry in the middle of the academic year, you'll be able to backdate for the current academic year, but not for any previous ones as these will not exist in the account.

However, it is possible to add other years to your Tapestry account. 

To do this, you will need to add at least one assessed observation with the created date set to be any day in the academic year you'd like to create. You can change the observation date as you create the observation by amending the date in the 'options' box in the right hand side of the observation. 

The below account, for instance, includes the academic years 2016/17 through to 2019/20. This can be checked by clicking on the 'year' option within any of the snapshot screens.

In this case, imagine that you'd like to add the 2014/15 and 2015/16 academic years. To do so, you would have to add an observation dated for the earliest of these date, which is 2014/15. Please note that whenever you create a past academic year, any academic years between the one you create and the earliest one you already have in your account will also get added. 

To add an academic year you will need to go to your Observations section (1) and click on '+ Add Observation' (2).

Here, you will have to make sure you change the date from within the options box to a day within the academic year you want to create (1). In this case, the observation has been dated for the 23rd of September 2014. You will also have to add a child and a title (2), otherwise the system will not allow you to save the observation. 

You will then need to add an assessment, one will be enough. We would suggest that you add the actual summative assessment score for that assessment period, year and chosen child for any of the aspects (3). By doing so, the summative assessment screen will automatically show the correct value for that child, aspect, period and year.

It is not necessary to approve the observation once it has been saved, which might come handy if you do not wish the child's relatives to see this backdated observation. 

However, if you'd like the assessment that you have included to contribute towards the summative assessment score calculation for that aspect, child and period, you will have to make sure that your snapshot screens include assessments from unapproved observations (Control Panel > Settings > Summative Assessments.

You can check if the academic years have been added to your account by checking on any snapshot screen's 'year' filter:

Once the academic year has been created, you will be able to manually backdate the summative assessments for all children and assessment periods as per the instruction at the beginning of this tutorial.
