Setting up Care Diary

This tutorial will take you through the steps of enabling the Care Diary feature from your Control Panel. 

Setting up from the Control Panel

(1) Click on your username and select Control Panel.

(2) Click on the 'Settings' tab and then the 'Care Diary' tab

(3) You can then enable the care diary function by ticking 'Enabled for use' and Save. The 'Care Diary' tab will then appear at along the top bar of your Tapestry screen.

(4) You can also make the care diary available for relatives to view from their profiles by ticking 'Enabled for relatives' and Save.

(5) If you would like for staff to approve the entries before they are released to parents tick 'Staff must approve relative access to entries' and Save.

Adding Meal Times

You can then set up default meal times that you would like to appear in your drop down menu/list when adding care diary entries. This will save you having to enter a specific time every time you would like to add a meal entry for a child/multiple children.

(1) These meal times have already been added to Tapestry, however when you first set up there will be no entries here. You can also change the timings of any meal times you have already entered here.

(2) You can name the meal times as required.

(3) To add a meal time you would like to appear in your drop down list, click on 'New Meal Time'.

(4) You can then add a Meal Name and adjust the Time as required. 

(5) Then click Save to add your meal time and it will appear as below.

Configuring Autocomplete Options

The Food, Meal Drinks, All Day Drinks, Milk and Sleep Care States and Locations fields displayed when making care diary entries will remember previously entered values. This can be useful if you regularly re-use a small number of items (e.g. food, drinks) but might not be suitable for larger settings.

You can choose which fields you'd like to have autocomplete options for in this section. You'd just need to make sure that those fields that you'd like to have an autocomplete option for remain ticked, unticking those fields that might not be suitable for you.

Do remember to save any changes!

Modifying Autocomplete Options

The Autocomplete Options section, enables you to change, amend or delete text that you would like to appear as an 'autocomplete' option when adding daily diary entries for Food, Meal Drinks, All Day Drinks, Milk and Sleep Care States. 

These will begin appearing here as soon as you begin to add entries to care diary manually from the Care Diary page. 

Once you have added a few entries for the above fields, these will begin appearing as autocomplete options and will be listed as below.

You can modify Autocomplete Options for: (1) Food (2) Meal Drinks (3) All Day Drinks (4) Milk (5) Sleep Care States

(1) In this example, I am editing the 'Food' Autocomplete Options.

(2) You can delete the entry by clicking 'Remove' here and Update.

(3) You can amend text if there is an error or you wish for another autocomplete option to appear by clicking into the text field and changing it as required. Once you click 'Update' the amendments will appear accordingly as below. 

Setting User Permissions for Relatives

You can then set user permissions for Relatives for the Care Diary by doing the following:

(1) Click on your username and select 'Control Panel'.

(2) Click on the User Permissions tab.

(3) Click on the 'Relatives' tab.

(4) Scroll down to where it says 'Care Diary' (below).

(5) You can then amend the permissions for relative by clicking 'edit'.

(6) After you click edit, you will be able to see the following screen where you can add/amend relatives who are permitted/not permitted for each of the above user permissions. You will also be able to select whether you would like to view users who are not currently active.
