Printed journals - advice for staff

We've teamed up with a publisher, Group Hugs, to offer parents and carers the ability to purchase printed copies of their child/ren's learning journals. This is only possible once a PDF journal export had been created. This can be done by relatives themselves, but a manager on the account will also be able to generate the export, which we will cover in this tutorial. If you'd like information about relatives being able to do this, then please refer to this tutorial

Some useful things to note:

  • You can export journals for active, inactive, and awaiting deletion children
  • If you delete / make a child inactive this won't delete the export once it's been generated
  • Relatives will need to remain active to access the export
  • Exports will be available for 90 days once generated

Before you proceed with generating the export we would recommend to first add a profile picture for the child/ren. This is because the front cover of the printed journal will use the photo that appears on the cover page. To upload a profile picture for a child, please look at the steps in this tutorial

If there is no cover page (detailed further down this tutorial) or no profile picture, then the child's photo on the front of the printed journal will be replaced with an image of a tree.

So that relatives can purchase a physical copy of the journal, you can't just export their observations in bulk through the Observations page. This needs to be done through the Control Panel. So, to start, click your name in the top right (1) and go to the Control Panel (2), and then Manage Children (3).

To export the journal for a single child, click the cog next to their name (1) and select ' Export journal to PDF' (2).

Alternatively, you can do this in bulk for multiple children by selecting the tick box by their names (1), choose 'Export journals as PDFs' (2) and press 'Go' (3).

You can make changes to the children selected (1). Most importantly, you'll need to make changes to the recipients section (2). Select 'Relatives' (A) and tick the box to allow them to download the export (B). If you don't select these two options (A + B) the relative/s will not be able to directly purchase a printed journal. 

You can also select the date range for observations to be included within the export (3). The date range will have an impact on how many pages the PDF file is and, as a result, the price and availability of the printed journal. You can check here for information about the page range and prices of the printed journals.

You can then choose which observations to include (4) and whether you want reports to be included or not (5).

The final section on this page will allow you to make some more advance adjustments to the content of the export (6). You can go through all of the settings to set them in your preferred way. We do recommend including a cover page (A) with text (B). This will be the first page in the printed journal, and the front cover of the book will contain the photo that appears in the cover page. As mentioned at the start of this tutorial, if there is no cover page or no profile picture, then the child's photo on the front of the book will be replaced with an image of a tree.

You may also want to leave these options (C) as the default settings to enhance the look and functionality of the printed journal. Once you're done, click 'Submit' (2).

The journal/s will then be generated, which you can see from the Control Panel Downloads. If relatives are permitted to receive notifications, and they haven't disabled the notification type 'File ready to download', then they'll receive a notification once the export is ready for them to access. Once it is available, they'll be able to purchase a printed journal directly from their Tapestry account. To ensure relatives know what to do when the export has been generated, you can send them this tutorial: How to purchase a printed book of your child's journal.

If a relative no longer has access to their account or the journal was generated over 90 days ago, they will still be able to purchase a printed book if they have the PDF file (if they downloaded it when they had access or you passed this on to them outside of Tapestry). This is particularly useful when it comes to ordering backdated copies. To do this they can simply upload the PDF journal to the publisher, Group Hugs, here.
