EmilyTapestrySupport Posted February 19, 2018 Posted February 19, 2018 In this tutorial we're going to look at the Staff Observation Count screens. Please note by default only managers will be able to see this screen, if you want staff to be able to access it you will just need to change the user permission for this to 'permitted'. This tutorial talks you through the user permissions on Tapestry. To access these screens you will need to click on the 'Tracking' tab at the top of the page (1), you'll then need to select the 'General' tab (2) from there. Once you've done this you can either select the 'Individual View' or 'Group View' in the 'Staff Observation Counts' section (3), depending on how you want to see this information. For the purpose of this tutorial I'm going to look at the group view; the individual view option will give you the exact same information as the group view, just for one specific child. So, when you go onto either of these screens, at the top of the page you will see the 'Filters'. These will allow you to select how, and what information, you see on this screen. The first filter (1) you can use to set the period you want to view the count for. You can choose to view this for a specific assessment period, the full history on your account or a custom period of your choosing. The next option you are presented with, is which format you would like to see the information in, a list or chart (2). Further down in this tutorial you will screenshots of what both of these options look like. You can use the 'Children' filters (3) if you just want to view this information for a specific group of children and the 'Observations' filters (4) can be used to select the types of observation you want to be included in the count. Below you can see the two options for how you can view this screen, in a table and in a list. Both will show you the total number of observations each member of staff has made for the period you are viewing, as well as how many they have made for each child on your account. We'll start by looking at the table format. Table format Here you will see a chart which has the name of each member of staff on your account along the top (1) and a list of all the children you have chosen to view down the left-hand side (2). You can use the scroll bars along the bottom and right-hand side of the chart to scroll through the staff members and children. The first row in the table shows you how many observations the staff have made in total for the children you have selected to view (3) and then as you move along this row it will tell you how many observations each member of staff has made in total in the period you have chosen to view this for (4). As you move down the table you will then be able to see how many observations each member of staff has made for each child, for example we can see in this screenshot, the staff member Bruce Khan has made 7 observations for the child Poppy Kelly (5). If a child is a member of staff's key child, this will be indicated by the number of observations the staff member has made for the child showing up in a blue cell (6). List format Now let's have a look at this screen in the list format. You'll see here that each staff member's name appears as a heading (1) and underneath you will see a list of children, included in this list is every child they have made an observation for (2). If a staff member hasn't made an observation for a child, they will not appear in this list. Next to the staff member's name you will see a badge which informs you of how many observations that member of staff has made in total (3). In the list of children underneath their name there is a badge next to each child's name which shows how many observations that staff member has made for that child (4). If the badge shows up as blue this indicates that this child is a key child for this staff member (5). So, there are the two ways in which you can view this screen, we hope you find it useful!
