Hello, so we're about to set-up our new cohort onto Tapestry - I am happy with how we do this! However, we're trying to deactivate our former year group whilst giving parents/carers chance to download their child's journals and also create hardback books with Group Hugs. How do we do this, please?

If you want to generate the journals for relatives, just follow this guide and it will show you all the steps: 

  1. Downloading journals to PDFs for staff and relatives

Provided you set the "recipient" to relatives, and you tick the box which allows them to download it, they'll be able to log in and download the PDF journal as soon as it's finished generating. When they log in and see this, they will also see an option to purchase a printed book version from Group Hugs. 

Also, as soon as you've generated these journals for relatives, you can deactivate those children immediately to free up the spaces on your account. 

  1. Deactivating children

Just keep the relative's account's active until they've had a chance to log in and download the journals. You can keep and eye on who has and hasn't downloaded each file from Control Panel > Downloads.
