EmilyTapestrySupport Posted June 9, 2017 Posted June 9, 2017 When taking out a Tapestry subscription for a whole school or multiple key stages you can decide whether you'd like to have your children set up across separate packages or in one large package (the biggest subscription size you can have is for up to 400 children). This article will run you through the pros and cons of each option. If you choose to take out several accounts then you have two options of how to set them up, which will impact what you do at the end of the academic year. This article will lay out both of these options so that you can decide what work's best for you and your school. Option 1 - Have a package assigned to a specific group of children, as opposed to key stage This option would work best in settings where practitioners/teachers swap classes/years at the end of the year. You might want to ensure the account is labelled something specific for the children, such as 'KS1 2025'. If you don’t want to use a specific cohort name, a manager can change your account name at the end of each year or whenever necessary from the Control Panel -> Settings -> Your Setting. Pros You can keep adding observations and assessment to the children as one continuous journal You won't need to transfer children or relatives to a new package (and won't need to go through the re-activation process with relatives) Con You might need to remove and add staff at the end of the year How to delete staff How to add new staff You might need to amend staff's key children at the end of the year How to amend staff's key children You might need to edit your groups at the end of the year How to amend groups Option 2 - Have your packages assigned to each key stage e.g. KS1, as opposed to a specific groups of children Pros You won’t need to delete and add staff at the end of the year You won't need to rename your account when children move between packages Con You would need to transfer the children and relatives between packages How to transfer children to a new Tapestry account You will need to go through the process of relative activation again on the new account Almost all children’s data can be transferred across, including manually overridden assessments. A child's 'About Me’ won't transfer so you would need to export it as a PDF and upload it on the new account to keep a copy. However, please note that you can't upload this back onto the About Me, so you would need to upload the PDF as a Report, in a Memo etc. We hope this article helps you decide on how best to set up your accounts.
