Restricting staff members to only seeing their key children

This tutorial will explain how you can set it on your Tapestry account so that all, or selected members of your staff, only see their key children (rather than all children on your account). This is useful in helping you and your staff manage the children on your account. For example, if you have a lot of children, setting it so that staff can only see their own key children allows them to find the groups they need quickly. If you are in a school with two classes in each year group, the class teachers can be set up as the key person and the children in their own class can be assigned to them. 

Creating smaller groups assigned to staff allows them to have a clearer overview of their children, supporting them to tailor observing, recording and planning the next experiences to each child. 

This first part is only relevant for setting changes to full account staff members and PIN only staff members, although the change does need to be made by a manager. If you are a manager and want to change this for yourself, then you can skip this tutorial and set appropriate page filters for yourself - if this is the case, please see this tutorial.

So, let's get started! To do this you will need to go to the management area on Tapestry, the Control Panel. You can access this by clicking on your name in the top right-hand corner (1) and selecting 'Control Panel' from the drop-down (2). You'll then need to select 'User Permissions' from the left-hand side menu (3).

You'll then need to scroll down to the 'Children' section, by default it will be set to show all children, to change this you'll need press the 'Edit' button.

To change this so all full and PIN-only members of staff can only see their key children you just need to choose the 'Not Permitted' option under where it says 'Default' (1).

If you want to set different permissions for specific members of staff you just need to tick the option 'Set different permissions for some users' (2), this will give bring up a list of all members of staff in your setting. If you also want to include staff that aren't active in this list, you can tick the option 'Show users that are not currently active' (3). To set a different permission for an individual member of staff you just need to select that option for their name (4). You can see in the screenshot below I have set it so Jack Thomas is permitted to view children who are not his key children. 

Once you're done just remember to click 'Save' (5).
