Retention Period for Records

Hi There. Please help me out!

 

Last year whilst doing what I am doing now - reviewing policies - one of you lovely people posted a document that listed how long we had to hold onto the rainbow of documentation that I collect. I know I downloaded and at some point during the academic year my LA also replicated the document. I know I have filed it somewhere safe but right now when I need it I am not really sure where that safe place is!!!!

 

So if any of you are able to help;

  1. by adding link to the document or
  2. by reminding me about all those safe places I should be looking in

I would be soooooooo grateful.

Thank you so much for this, just spent ages searching for an up to date list :)

 

Can I just clarify though.......does the above document mean that we can shred accident forms after 3 years? It would definitely free up my loft if we can lol!

Yes....well, 3 years after the child has left. We've got an empty shelf at playgroup now. So much stuff had been kept through successive managers and chairs all passing on the same instruction 'that stuff is important and has to be kept' only nobody checked!! ☺

oh my word I am going to need a new shredder when I've got rid of the older ones then - mine go back to 1999!

21 years and 3 months was something I learnt...

Statutory requirement:

3.71.Records relating to individual children must be retained for a reasonable period of time after they have left the provision.

So how do we define a 'reasonable period of time'.......

 

How long does everyone else keep theirs for????

Logically though - this is probably true of accidents requiring hospital treatment/ambulances etc . Those type I would definitely keep for the full amount of time.

 

But I'm now thinking all those little grazed knees can go after three years. :1b

Well I've gone for it and started shredding - 1 very full bin bag later and a blown up shredder I still have a box jammed full of shredding to go lol!

I think it would be easier/quicker to find a field somewhere and have a bonfire....... :ph34r:

I've taken on a setting this year and had the same 'oh my god moment' when finding paperwork dating back to 1989!! After collecting all the paperwork and going through it with my deputy, trying to decide how long we should keep stuff, we found the 'retention period' piece of paper last!!! Now it has been copied and put in every folder which contains old documents, just in case. My compost bins are overflowing with shredded paper!!
