Re-using existing DBS checks

Has anyone every used an existing check for someone joining the committee?

 

We have a lady who has agreed to join the fundraising arm of the committee, so no involvement with working with children or the financial running of the pre-school and she had a DBS check done 3 months ago for her job at another nursery.

 

As far as I am aware she didn't join the update service, but it seems absolutely daft to me to go through the rigmarole of running another check.

 

If we did use it, do we just need to fill in an EY3 to send to Ofsted to inform then that she is on our committee?

I think that if she is becoming a member of your committee and therefore part of the registered body she will need to complete a dbs with update service and an EY2 for ofsted. She will need to pay their admin fee but cost of dbs is met by ofsted (not sure about update fee).

Oh, I don't have any recollection of being told they HAVE to join the update service, and we haven't done that with any of the people who have joined so far.

 

Do you have to pay for the update service if you are a volunteer?

 

Do you know if she had joined the update service with the last check if we will have to make her do a new DBS as a new committee member?

My understanding is from 2014/2015 everybody has to join the update service. I am currently checking a parent whom has a DBS for our local school so hoping this might be carried over to us now she has joined our committee this year. I think it's £13.00 but not absolutely sure. This is on my to do list to check for next week.

If I find anything out differently I will post on here to let you know.

Why can't they just give clear "idiot" proof (for me) information that makes it completely clear what the requirements are and how to go about it. Trying to find out any official information is like searching for a needle in a haystack.

Must register for update service within 19 days of DBS check only then can you finish filling in EY2. Free for volunteers (DBS costs £8.10 for volunteers). Far too complicated for committees and you have to keep chasing them to make sure they do it all. Should be much more straightforward - easier to do new staff and they are the ones in contact with the children!

Oh no, we've not long ago had a check done on our new treasurer, she received her certificate on the 3rd November, but I didn't know about the update service requirement to complete the EY2, so now she's past the date :-(.

 

I really feel like throwing in the towel at the moment.

Is your Treasurer a committee member?

 

I think part of the problem is that we have responsibility for making sure staff members and regular volunteers have either dbs or crb clearance in place when they take up their position and a method of checking ongoing suitability. Our policies state whether we want these updated regularly through the update service (and who will pay for this - the person themselves or the setting) or through annual declarations.

 

Ofsted have responsibility to make sure that the registered person/body have this clearance in place. Unfortunately they are not the ones that have to steer our committee members through the maze!!! Ultimately it's the setting that suffers and is penilised if it's not done correctly - with a requires improvement judgement!!! The way I understand it is the committee member has to complete a dbs through Ofsted (they will need to set up an account with government gateway?). Once this has been done, the reference number is needed to complete the EY2.

 

I have only had one committee member go through this and I seem to remember that she said that communication was through one of the sites rather than emails sent to her so she had to log in regularly to check progress. I could be mistaken on that?? So, apart from regular nagging, not much more we can do with these applications because they are being completed for Ofsted!

 

I apologise if I am completely wrong. Nothing like a bit of misinformation first thing in the morning!!!

On completing an EY2 you are asked if you have signed up to the update service if I remember rightly, which is a requirement now from the talks I've been in with Ofsted.

Our treasurer is not part of our committee so does not go through Ofsted.

My way of doing it now after years of headaches is I get new member with me even if I go to their house, we get gateway and complete together and if needs be I support doing the DBS takes about 30 mins all in all. I then get their permission to check their gateway status regularly (I don't do anything other than check status) if something crops up and it's sent back again I support them by saying exactly what they need to do.

On the gateway you can track the EY2 every time it's been opened and closed at Ofsted, action taken etc you are right no communications are done by e-mail with the committee member it's all done on gateway, not even an e-mail to say a new message is waiting for you!

I found it less stressful and less time consuming by checking myself x

Yes, she is a committee member. I'm seeing her tomorrow for a meeting, so I'll ask her to explain to me what she had to do to see if every thing that should happen has happened, I think I will show her this thread!

I've posted this on another thread but it's relevant here too! I'm fed up with these checks over the past 2 weeks as I've done 18 committee checks and still got the EY2's to complete once the certificates are in.


I've had two settings check my DBS too so know that the checking system works as listed below. Hope it helps!


DBS as follows:




Print off the ID check form and get it filled in and sent off.


Once certificate through go to https://www.disclosureservices.com/update/ (but only via Internet Explorer) and sign up.


Volunteers are free, employee's are £13.00 per year and it's their responsibility to pay for it.


You have 19 days only to sign up once the certificate is received.


Then visit https://online.ofsted.gov.uk/onlineofsted/Default.aspx and register for a Government Gateway login and then complete the EY2.


Once checked, Ofsted will send a letter to the nominated person about suitability - For committee members only not staff.


If someone already has a DBS certificate you can check it for your setting by this process


Visit this link through Internet Explorer (it doesn't work with Chrome or Firefox).




Enter the certificate number


The surname and the date of birth.


You must have permission to do so from the person you are checking.


It's still too complicated and puts too much responsibility on the individual to complete all the steps. With Ofsted taking so long to confirm suitability, some groups may not know that someone hasn't completed all the steps until it's too late.
