Hi all.

but cant find out if the student we have taken on to start after easter will have to have a new dbs check?

she has just had an enhanced one completed via the college and i have recorded the number of the certificate.

also does anyone know how long we can accept a previous dbs as have another person we have taken on and her dbs was done 10 mths ago again it was enhanced one.

thank you

We ask to see a student's DBS check and, provided it was done at the start of their course, accept this. If it shows 'positive' (i.e. they have received a caution etc) we contact the College / Uni and ask them to share their risk assessment. This process is sety out in the agreements we have with our local College / Uni.

For a new member of staff we don't let them start until a new DBS is complete. The DBS process seems to be much quicker now so it's not a problem and, of course, once more people have their DBS registered on line, it will be immediate. We just feel it is too important to take any risks

We do same as above in regards to students, and they are never unsupervised.

DBS are not portable at all unless they have signed up to update service you can not accept one done by a previous employer for example regardless of when it was done. We also do as above no start date until it's back, but that's our preference I know some others do it - start but supervised till return of dbs :)

I havnt had the pleasure of using the update service yet but I'm a little keen to have a go lol x

i think it was talked about on another thread a while ago but I have yet to find anyone who has registered their DBS. Has anyone else? When I ask prospective staff volunteers etc. they have not known it is possible. They tell me that, when the DBS is returned, there is no covering letter to say how to register or that there is a time limit to do so. I think we need to all work to get the message out there so this opportunity is not missed. Any ideas?

Hi, i have completed several dbs checks now - once the applicant has received their paper copy of the dbs then you go back onto their account and tick the update service - you get 19 days from the date of issue of the dbs to do this or else its too late.

hope thats a help

It's 19 days from the date on the DBS ( was14) and it £13 a year (free for volunteers) I ask all my staff to be responsible for registering there own and keeping it registered every year. If they don't then when I re check there DBS on the system they will be responsible for the total cost of a new DBS. Edited by Zoejcksn

I knew it was an annual fee to who ever pays for it in your organisation (employee or employer) and that if not kept up the following year it would be uncheckable so I would revert to good practice of every three years. I also get staff to do disqualification sheets but you never know if they tell you everything so would stick with good practice if I couldn't check annually using the service and the police do inform employer of anything as it happens if it could or does effect suitability (possibly only if declared about type of employment not sure).

But I did not know/realise that after doing online DBS it was me that had to go on and check a box I presumed staff were informed on reciept of paper dbs on how to do it.

I shall look into this Blondie thank you :) --- I now take my head from in the sand and look at messages in dbs company e-mails lol x

I have just read the 'employers guide' but can't find any reference to whether a dbs certificate remains valid or not if yearly update subscriptions are not completed. It does say they don't have to wait for paper copy to register with update service, just need the application ref number.

Zoejcksn are you just telling your staff they will have to redo dbs if not updated or can you point me to this information ? Thanks

A DBS does not run out as far as I know:/ but I like to check my staffs at least every two years now that it is possible through the update service. When I get a new DBS I put it in the staff contract that the up date service is there responsibility and if the fail to register it I will exspect them to pay for a new DBS when I re check them every two years.

I also have them sign a suitability questionnaire with every supervision t o allow them to disclose any thing.
