Snapshots EYFSP

Please note this tutorial is for the EYFSP submission screen based on the previous ELGs. If you require the EYFSP submission screen for the new ELGs, you can take a look at this tutorial

 

Tapestry allows you to generate a form which can be sent off as your EYFSP submission. You can find that within your snapshots section and you will be able to export the submission into CSV (Excel) or PDF format. It won't actually be sent straight to your local authority via Tapestry, but once you've had a look over the document you should be able to send it to your LA in the usual way for your school.

The first thing you need to do when creating this submission is log in on the browser version of Tapestry and go to the Tracking tab (1), make sure you are on the EYFS section (2) and then in the EYFSP section (3) you will see you can choose to go to either an individual view or a group view of the submission. You may need to go onto the individual view if you would like to change any of the scores, but to begin with just go to the group view.

By default, the cohort chosen will be the most recent one (signalled by the red arrow on the screenshot), but you can change that to whichever one you’d like using the drop-down list. You may find that you are set to see your key children group, but you can also change that, as well as having the option to select any other group from the drop downs in the filters section. You might want to do that if you are in charge of filling in the submission for some of the children in the cohort but not all of them.

Once you have selected the group of children you would like to see, you may see a 'Problems' section (1) appear. This tells you if you are missing a child's UPN or postcode and if you have not filled in the URN or Establishment number for your setting. In all cases of missing data you will also have a 'Fix this' button (2) which will take you to the appropriate page to add that to Tapestry. Please note that you won’t be prevented from creating the submission form if you don’t have those details, but they are things that your Local Authority ask for.

Beneath that you will see the main EYFSP form which you will need to look over.

As you can see from the picture below, the EYFS aspects, in EYFSP order, show up down the left hand side and each child has their own column with a score of either 'Emerging', 'Expected', 'Exceeding' or a dash (to indicate no score) for each of the aspects.

The scores here are based on the scores in the summative assessment snapshot for the very last period (as set up in the Settings > Summative Assessment section of your Control Panel) of the cohort's reception year. They do take into account the scores you have overridden there as well, so provided you agree with the summative assessment for your very last term, the scores you see in this submission should be correct too.

 

The scores in snapshots are converted to EYFSP scores as:

ELG Emerging, ELG Developing and any 40-60 score or below = Emerging

ELG Secure = Expected

Any ELG+ score = Exceeding

No score = Dash

 

If you don't use refinements then:

 

40-60 and below = Emerging

ELG = Expected

ELG+ = Exceeding

 

 

When this screen is exported the Emerging, Expected, Exceeding, and dash scores will show up as:

Emerging = 1

Expected = 2

Exceeding = 3

Dash = A

 

If you are unsure of a score that you see in this chart, you can click on said score (just the word Emerging, Expected, or Exceeding) in order to see a 'show details' box. That will show you all the observations that were made for that child in that period in that aspect, and what the overridden summative assessment score was if one was made.

 

If an assessment score was manually inputted into the summative assessment screen, rather than being calculated from observations, the pop up box (like in the picture below) will tell you that is the case. The score in the EYFSP snapshot however will not have a pencil next to it to indicate that it was a manually defined score.

If you disagree with the EYFSP score you can change it through the summative assessment for that child or through the individual view on the EYFSP. If you want to do the latter you just need to click on the child's name at the top of their column or go to the individual view for EYFSP from the snapshots tab and select the child. You will then be able to manually input the score you think is most appropriate for the child in the same way as you would when overriding summative assessment scores - simply by selecting it from the drop down box.

 

Don't forget to save your changes at the bottom of the page when you're done!

Once you have made a change in this way, you will see a pencil on the chart whilst on Tapestry to indicate that it has been manually defined, but that won't show up in the actual submission when you export the chart.

If you change a score through the summative assessment screen instead it will automatically change in the EYFSP without the pencil to indicate the change. Please note however, that the same won't be true the other way around - if you change the individual view EYFSP score, that won't show up in the summative assessment page.

 

When you are ready to export the file you have the following options: CSV (1), PDF (2) or CTF for SIMS (3).

We experienced several issues last year trying to format a CTF file that was suitable for SIMS. If you do use this option we would greatly appreciate if you could let us know whether this worked for you by selecting either the 'The SIMS version worked' or 'The SIMS version did not work' button (4) so we know whether we need to make further adjustments. 

Below that you can see several options to download it as a CTF file, to allow you to upload it to SIMS (3). We have created several file CTF file types as we know different local authorities, require it to be done in slightly different ways. You can use the buttons in the 'Once you've tried importing the CTF file(s), please let us know how it went:' section to tell us whether this worked or not (4).

The CSV version is an excel file and will look like the image shown below this paragraph. As you can see, any details that are missing (e.g. postcodes) simply won't appear. If you need a different type of excel file, XML for example, you can change it by just going to 'File' and choosing 'Save As...' then in the file type section selecting the appropriate one.

The PDF printable version will look like the image shown below this paragraph. Although you can export it in portrait if you like, we would recommend choosing to export it in landscape.
